Pipedrive backup: how to back up and what Restore data saves

By Tomi · Last updated

Pipedrive has no backup you can restore from. To back it up, export each data type from Tools and apps > Export data, or use a backup app or the API for daily copies. Restore data is not a backup: it brings back items deleted in the last 30 days (and, according to Pipedrive, list-view bulk edits), but not merges or record-by-record edits, which is how AI assistants and integrations usually write. Pipedrive keeps its own nightly backups, but its help center describes them as protection against data corruption, not something customers restore from.

Restore data and API costs tested in a Pipedrive sandbox, October 2026. Export steps and plan details from Pipedrive's help center. Last checked: October 30, 2026. What we couldn't verify.

Pipedrive backup options compared

Option What it covers How often How you get data back
Export data (built in) Leads, deals, organizations, people, products, activities, notes, files and projects. Custom fields included When someone runs it You re-import a spreadsheet or retype values
Restore data (built in) Deleted leads, deals, people, organizations and activities; bulk edits and lead conversions (Pipedrive's claim) Always on, 30 days A Restore button
Backup apps Depends on the app (compared below) Daily or weekly New copies or rollback, depending on the app
API script (for developers) Anything the API exposes, plus a log of changes if you add webhooks As often as you schedule it You write it back through the API

Emails aren't in Pipedrive's export at all. If your sales history lives in synced email, your mailbox is its backup.

How to export all your data from Pipedrive

Pipedrive's export article (updated September 3, 2026) says global admins can export by data type, and regular users need export permission in their permission set. Either way, you only export what your visibility settings let you see, so run the full backup as an admin.

  1. Click your account menu at the top right and go to Tools and apps > Export data.

  2. Pick a data type, then Excel or CSV. Notes export as HTML or plain text; files are exported by the date they were added. Projects need the Premium plan or higher, or the Projects add-on.

  3. Wait for the file to be generated, then download it with the cloud icon in the Available until column. Pipedrive keeps generated files for 28 days, so download them; that list is not your backup.

  4. Repeat for every data type. There's no single "export all data" file, and Pipedrive can't schedule exports, so someone has to run them. Activities, notes and files linked to deals and contacts come in their own exports, matched by ID.

  5. Save everything in one dated folder (for example pipedrive-backup-2026-10-30) outside Pipedrive.

Two gaps to know. Files stored in Google Drive aren't included, and the file links inside the export only open for admins. To export just part of your data, open a list view, filter it, add the ID column, and choose the three-dot menu > Export filter results.

Pipedrive Restore data (the recycle bin): what it brings back

Tools and apps > Restore data (or the three-dot menu in any list view) shows items deleted in the last 30 days. You can filter by who deleted them and when, and restore one item or many. After 30 days they're deleted for good (Restore data article, updated September 3, 2026). Pipedrive doesn't call it a recycle bin, but that's what it is.

What happened Does Restore data bring it back?
A deal, person, organization, lead or activity was deleted Yes, for 30 days. A deal returns to its pipeline and stage; if that stage no longer exists, it comes back without one
Many items deleted at once Yes, for 30 days. You can filter by bulk deletion session
A bulk edit from the list view Pipedrive says yes, for 30 days since March 2026 (product updates). Its bulk edit help article still says the change can't be undone. We haven't run a revert
Leads converted to deals in bulk Pipedrive says yes, for 30 days, on the same page
A field edited on one record, by a person, an AI or an integration No. Open the record's History > Changelog to see the old value and type it back
Two records merged No. In our sandbox, a merged organization didn't appear in Restore data. What a merge loses
A spreadsheet import Not here, but global admins can revert an import from the import history within 48 hours (import article, updated October 19, 2026)
Anything deleted more than 30 days ago No

For a single deal you can also open the deleted deal and click Restore in its detail view; it reopens in the stage it was in (deleted deals article). A lost deal isn't deleted: it stays in Pipedrive and you reopen it from the deal.

Who can restore depends on the plan. On Lite and Growth, users can restore any item they can see. On Premium and higher, users restore their own deleted items, plus other users' items if their permission set lets them edit those. Activities follow visibility on every plan.

The row that matters most if you use an AI: an assistant connected through Pipedrive's MCP, or an integration like Zapier, changes one record per request (why). Fifty edits from an AI arrive as fifty single edits. Pipedrive describes its revert as covering bulk actions, so don't expect those edits there (we haven't tested it). Deletions come back either way.

Does Pipedrive back up your data for you?

Yes, for itself. Pipedrive's backup article (updated September 3, 2026) says it keeps real-time database replicas and makes nightly backups of all customer databases, encrypted and stored off site, to recover from data corruption. It doesn't offer them to customers or say how long they're kept. If you ask support to recover something older, have an admin write in, and don't count on it.

If you cancel, you keep access until the end of the billing cycle (cancellation article, updated September 3, 2026). Pipedrive then deletes a paid account typically within 180 days (60 for a trial), or within 48 hours if a user with account settings access asks support for manual deletion (account deletion article, updated September 13, 2026). Export everything before you cancel.

Backup apps for Pipedrive

Prices and features from each vendor's page, checked October 30, 2026. We haven't tested any of them.

App What it says it backs up Restore Price
ProBackup Deals, contacts, organizations, leads, products, notes, files and users, daily. Activities aren't on its list Its marketplace listing says restores create new copies; its pricing page also mentions overwriting selected fields From $25/month billed yearly (10 GB, 6 months of history)
Skyvia Pipedrive objects and their relations Restores deleted records and says it can roll back changed values; compares two snapshots Free up to 1 GB (3 months kept); automatic backups from $7/month billed yearly
My CRM Backup Companies, contacts, deals, activities, notes, emails and attachments, daily or weekly Not described; files land in your Google Drive or OneDrive See the vendor's site

Rewind, a large SaaS backup company, doesn't list Pipedrive. Coupler.io can also copy Pipedrive data into Google Sheets or a warehouse, which gives you a copy but no restore button.

Before you pay, test a restore on a single deal in a test pipeline. A record restored as a new copy gets a new ID, so links, Zaps and reports that used the old ID won't follow it.

A backup routine for a small team

  1. Weekly: an admin exports deals, people, organizations, leads, activities, notes and products (and projects, if you use them) to CSV and saves them in a dated folder. Export files monthly; they take longest.
  2. Before anything risky (an import, a bulk edit, a merge session, letting an AI change records): export the filter you're about to touch, with the ID column. That file is your undo.
  3. Daily, if Pipedrive is where your revenue lives: add a backup app or a scheduled API script, so you're never more than a day behind.
  4. Once a quarter: restore one record from your backup to check it works.
  5. Check permissions: in Manage users > Permission sets, limit who can delete, bulk edit and export.

If an AI or integration broke your data today

  1. Stop it. Turn off the Zap, remove the AI connector or revoke its access. If it used your personal API token, regenerating the token stops it, and every other tool using that token.
  2. Export the current state of what was affected, before anyone fixes anything, so you can compare.
  3. Find what changed. Open a few affected records and read History > Changelog: old value, new value, who and when.
  4. Deleted items: Tools and apps > Restore data, filtered by the user the AI or integration acts as and today's date. Restore within 30 days.
  5. A bulk edit from the list view: the Bulk edits tab of Restore data, per Pipedrive.
  6. Edits made one at a time: there's no native undo. Copy the old values from your last export or backup app, or have a developer write them back from the changelog API.
  7. Merges: within 30 days a developer can reactivate the absorbed person or deal through the API. A merged lead is gone and has to be recreated with a new ID (details).
  8. Check your API budget. A looping agent can also use up the daily tokens your other integrations need (how to check).

Backing up Pipedrive through the API

For developers. Pipedrive has no "export everything" call: you list each type. In our sandbox, listing 500 records with the v2 API cost 10 tokens, so 10,000 people, 10,000 organizations and 10,000 deals cost about 600 tokens, 2% of a one-seat Lite account's 30,000-token daily budget. Notes have only v1 list endpoints, documented at 20 tokens per call. Each file is a separate download. More on budgets in why Claude used up your API tokens.

A nightly snapshot misses the changes in between. Webhooks v2 fill most of the gap: each change and merge, including those made by hand in the app, sends an event with the previous values of what changed (a deletion sends the whole record). Files have no webhooks. After 10 failed first attempts, Pipedrive stops sending for 30 minutes and drops what happens meanwhile (webhooks v2 guide), so keep the nightly listing as a check. To read past changes, deals, people and organizations have /changelog endpoints, available since February 2024 (changelog post).

What we couldn't verify

  • Whether Restore data's bulk edit revert restores every field, who can use it, and whether it covers items edited or deleted through the API or an AI connector.
  • Whether deleted notes and files appear in Restore data. The help article lists leads, deals, people, organizations and activities.
  • Who can restore a deleted deal: the deal article says only admins, the Restore data article says users can on every plan.
  • Whether reverting an import restores the old values of records it updated, or only removes records it created.
  • Whether Pipedrive support will restore from its nightly backups, and how far back.
  • How each backup app handles custom fields, products on deals and activities.

Where Pipehand fits

Pipehand is planned to launch in April 2027 as a replacement for Pipedrive's MCP. It's designed to keep a daily backup of your Pipedrive on every plan (7 days of history on Free), to record the changes Pipedrive reports, including those made by people, Zapier or another AI, and to keep a copy before each change it makes so you can undo it. From the Growth plan, you'll be able to restore a record to any day within your plan's history, including after edits Pipehand didn't make.

If you want a backup and an undo before you let your AI near Pipedrive, join the waitlist on pipehand.com.

FAQ

How do I back up my Pipedrive data?

Export each data type from Tools and apps > Export data to Excel or CSV and save the files outside Pipedrive. For daily copies, use a backup app such as ProBackup or Skyvia, or a script on the API.

Does Pipedrive have a recycle bin?

Not by that name. Tools and apps > Restore data lists deleted leads, deals, people, organizations and activities for 30 days, and you can restore them from there.

How do I restore a deleted deal in Pipedrive?

Within 30 days, from Tools and apps > Restore data, or by opening the deleted deal and clicking Restore. It returns to its pipeline and stage. After 30 days it's gone unless you have an export or a backup.

Can I recover deleted contacts in Pipedrive?

Yes, for 30 days: deleted people and organizations appear in Tools and apps > Restore data. Merged contacts don't; see what a merge loses.

Can I restore deleted data in Pipedrive after 30 days?

Not from Restore data: after 30 days Pipedrive deletes the items permanently. Only an export or a backup app made before the deletion has them. Support may help from its nightly backups, but Pipedrive doesn't promise it.

Can I undo changes in Pipedrive?

Deletions, yes, for 30 days. Bulk edits from the list view, according to Pipedrive, for 30 days. An import can be reverted within 48 hours by a global admin. Merges and edits to a single record, no; the record's changelog shows the old values so you can retype them.

Can I export all my data from Pipedrive at once?

No. Pipedrive exports one data type at a time, and generated files stay available for 28 days. Google Drive files and emails aren't included.
