Format phone numbers in Pipedrive and clean duplicate emails

By Tomi · Last updated

Pipedrive doesn't normalize phone numbers. It saves each one exactly as someone typed it, so 570-809-7197, +1 (570) 809 7197 and 2407073884 can all live in the same account. Its only built-in option shows numbers in US format, and only numbers of 10 or more digits without dashes or spaces. For everything else, export with the ID column, clean the numbers in a spreadsheet and import them back, or use a tool. Duplicate emails are three different problems, and one of them can unlink a contact's email history if you fix it the wrong way.

Tested in a Pipedrive sandbox, October and November 2026. Last checked: November 2, 2026. What we couldn't verify.

What Pipedrive does and doesn't do with phone numbers

Question Answer Source
Does it change the format when you save? No. Every phone in our sandbox came back exactly as typed, in five formats, +54 11 5555 1234 and 11-5555-1234 included Our sandbox, October 2026
Does it validate the number? No validation is documented, for the standard phone field or for custom Phone fields Custom field types, updated September 3, 2026
Is there a default country code? Not in any settings page we found Pipedrive help center, checked November 2, 2026
Can it format numbers? Only to US format, (555) 555-1234, with conditions below Convert phone numbers to US format, updated September 3, 2026
Does duplicate detection see two formats as the same? No. "240-707-3884" and "2407073884" on two Hashim Hardys weren't flagged Our sandbox, October 2026
Does a merge clean them up? No. Merging two Tony Turners left both "570-809-7197" and "+1 (570) 809 7197" on one contact Our sandbox, October 2026, merge through the API

A Pipedrive developer forum answer from 2022 calls the phone "more of a free-form field" (thread). That matches what we measured.

The US-format option

Pipedrive's article says the option needs your date and number format set to English (United States), then the Convert phone numbers to US phone number format checkbox. Both live in your personal preferences, so each user turns it on for themselves. It only changes how numbers look. In our sandbox, 2407073884 showed as (240) 707-3884 and +12407073886 as +1 (240) 707-3886, 240 707 3885 stayed as typed, and the API still returned all three exactly as saved. Pipedrive explains the format setting in language and format (updated September 3, 2026).

It converts numbers with at least 10 digits that are digits only or start with "+". In Pipedrive's words: "Phone numbers with hyphens or spaces are not supported for conversion." So a base full of 570-809-7197 stays as it is, and numbers from outside the US don't get a format of their own.

Why the country code matters

A number without a country code works when a person reads it. It fails when Pipedrive or another app has to dial or match it.

Where What happens Source
WhatsApp in Pipedrive Every number needs a country code; without it you type the number by hand. Growth plan or higher, in beta WhatsApp integration, updated September 3, 2026
WhatsApp, shared numbers If several contacts have the same number, the conversation isn't linked to any of them Same article
Mobile app on iPhone Caller ID only works for numbers that include a country code Calling from the mobile app, updated September 3, 2026
Mobile app call logging A call is logged only if the number is the contact's primary phone Same article
SMS and calling apps Many expect E.164, the +15708097197 format. Sakari, for one, adds its own default country when the code is missing Sakari help

If you only fix one thing, add the country code. A consistent +1 570 809 7197 is enough for people and for these features. E.164 with no spaces is what calling and SMS apps prefer.

How to clean phone numbers by hand

Pipedrive has no "format all phones" button. These are the native routes and their limits.

Bulk edit: People only, one value for all

In the list view, bulk edit shows phone and email as editable fields only for People. Organizations, deals and leads don't list them (bulk editing, updated September 3, 2026). Bulk edit sets the same value on every selected record, so it can't turn 300 different numbers into 300 formatted ones. It helps in one case: many people who should share one number, like a company switchboard.

It replaces every phone on the person, not just the main one. We bulk edited a person with two numbers, 555-0101 and 555-0102, to +1 555 0199. The confirmation screen listed both old numbers as "Previous", and afterwards the person had one phone: the new one.

Pipedrive's bulk edit article says changes can't be undone once confirmed, but the confirmation screen now says you can undo them from Tools and apps > Restore data. We tried it: Bulk edits > People > Revert brought back both numbers exactly, with the same main one. The revert warning says it also undoes later changes to those fields, doesn't undo what automations changed, and doesn't trigger new automations. Export first anyway: the revert window is 30 days.

Export, clean, import back: the real native route

Pipedrive's update with a spreadsheet guide (updated September 3, 2026):

  1. Open Contacts > People in list view. Click the gear and add the ID column, plus every phone and email column.
  2. Export the list. Keep an untouched copy of the file: it's your backup.
  3. In a copy, write the clean number next to the old one. Don't edit the ID column.
  4. Import the file and map the ID column to Pipedrive System ID (Person), so rows update people instead of creating new ones.
  5. Open five people you changed and compare them with the file before you trust the rest.

The import replaces the whole phone list too. We imported one row with the person's ID and one phone, +1 555 0101, for a person who had two numbers. Pipedrive reported "1 updated", and the person was left with that single number: the second one was gone, with no warning. So put every number you want to keep in the file, one phone column per number. Reverting the import from Import data > Import history brought both numbers back; Pipedrive allows that for 48 hours after the upload.

Limits: that guide caps update files at 50 MB and 50,000 rows; the general import guide (updated October 19, 2026) says 200,000 rows. A phone column can be mapped several times, one per number, each with a Work, Home, Mobile or Other label (advanced mapping, updated September 3, 2026). Only a global admin can revert an import, within 48 hours. More on this route in the spreadsheet route for bulk edits.

One by one

Open the person, click the phone, fix it. For a few hundred contacts, start with the people on open deals.

What happens to phones and emails when you merge

Merging is where repeated numbers usually come from. In our sandbox, merging two people kept both phones from both records, even when they were the same number in two formats. Emails behaved differently: Tony.Turner@moveer.com and tony.turner@moveer.com were kept once. Whatever came from the duplicate arrived as a secondary value, not the primary. Pipedrive's help says the primary's phone is kept, which isn't what we saw through the API.

The full list of what a merge keeps and loses is in what you can't undo after a merge. After every merge, open the contact and delete the extra copy of the phone.

Duplicate emails: three different problems

"Duplicate emails" means different things in Pipedrive. Find yours first.

What you see Usual cause How to fix it
The same address twice on one contact A merge or an import added it again, sometimes with different capital letters Edit the contact and delete the extra copy
The same email message twice in a contact's or deal's history Two teammates syncing the same thread, a shared inbox synced by several people, or email sync plus Smart BCC at the same time Pipedrive's duplicated emails article (updated September 3, 2026) covers each cause
The same person saved as two contacts A form, an import or a teammate created them twice Merge them. Pipedrive's finder ignores capital letters in emails, but not other differences: how to find them

Careful before you delete an address

Pipedrive links each email message to a contact through the email address (link emails to items, updated September 3, 2026). In our sandbox, when we removed an address from a contact, the messages linked through it lost their contact. A minute later they were still unlinked. They linked again only when we removed the address from the contact that should own them and added it back.

So before you delete an address that isn't a plain copy of another one on the same contact, open the contact's email tab and check whether messages came from it. If they did, keep it as a secondary address instead.

Tools that clean phone numbers

Tool What it does with phones Price
Insycle Its Marketplace listing says it can "format phone numbers for click-to-dial" From $100 a month, billed yearly. 14-day trial up to 500 records (its Marketplace listing still mentions a free plan). Phone formatting sits in its Transform Data module (pricing)
Dedupely Finds and merges duplicates on any field, and can undo most merges for 30 days. Its listing doesn't mention formatting phones $40 a month, or $32 billed yearly, for up to 30,000 records (pricing)
Zapier Formatter Formats a number with the country you pick, for example to E.164: 623-234-9012 becomes +16232349012 (Zapier). On every Zapier plan, Free included; Formatter steps don't count as tasks

Zapier fixes numbers as they arrive, in the Zap that creates the person. It doesn't clean the numbers you already have. Of the three, only Insycle says it formats phones on records already in Pipedrive. Try any of them on a filter of 20 people first.

Cleaning phone numbers with AI today

An AI is good at the hard part: reading 11-5555-1234, knowing the contact's company is in Buenos Aires, and writing +54 11 5555 1234. Two ways to use that today:

  1. Give it the export. Upload the file from the export route above to Claude or ChatGPT and ask for a new column with each number in E.164, using the organization's country, and a second column flagging the ones it isn't sure about. Then import as above. Nothing touches Pipedrive until you import. The file holds your customers' contact details: check your company's rules before uploading it to an AI service.
  2. Let it write through the connector. With Pipedrive's official connector set up (Claude, ChatGPT), the AI updates one person per call, with no preview and no undo.

The second route has a trap we measured: through Pipedrive's API, updating a person's phones or emails replaces the whole list. Send only the new number and the others are gone. Sending an empty email list wiped every address. Ask the AI to send every phone back, cleaned, in the same update.

Cost: in our sandbox in October and November 2026, listing 500 people cost 10 API tokens and each update 5. Our estimate from those numbers: for 2,000 people where 800 numbers need fixing, that's 4 lists and 800 updates, about 4,040 tokens. On a one-seat Lite plan's 30,000 a day, that fits. Budgets per plan are in why Claude used up your Pipedrive API tokens.

A routine so it doesn't come back

  • One written rule for the team: every phone starts with + and the country code. Put it in your onboarding doc.
  • Fix the entry points. Add a Zapier Formatter step to every Zap that creates people, and check that your web forms ask for the country.
  • After every merge, open the contact and delete the repeated phone.
  • Once a month, export People with ID and phones, sort the phone column, and fix the rows that don't start with +.
  • Before deleting an email address, check the contact's email tab.

Common mistakes

  • Trusting the US-format checkbox to clean the base. It skips numbers with dashes or spaces, and anything outside the US.
  • Bulk editing the phone field. It writes the same number on everyone you selected and removes their other numbers.
  • Letting an AI update one phone and losing the rest. The update replaces the whole list.
  • Deleting an address with history. Its email messages lose their contact until you add it back.
  • Formatting without the country. A default country applied to every row can turn a Mexican number into a US one.

What we couldn't verify

  • Whether a merge done in the Pipedrive app, not the API, also keeps both formats of a phone, and what it does with two identical phones.
  • Whether Pipedrive's search finds "240-707-3884" when you type "2407073884". A Pipedrive staff answer from 2019 said phone search ignores non-numeric characters; we haven't tested it.
  • Whether deleting one of two identical copies of an address on the same contact unlinks any messages. We only tested removing an address entirely.
  • Whether WhatsApp matches incoming messages to numbers saved in other formats.
  • A developer reported in May 2026 that the official Claude connector sent the wrong field names for email and phone (report). We didn't check whether it's fixed.

Where Pipehand fits

Pipehand is planned to launch in April 2027 as a replacement for Pipedrive's MCP, with early access for founding members from January 2027. Its free health check is designed to count badly formatted phones and emails in your account, without changing anything. Your AI will be able to normalize phones to E.164, using the organization's country when it's known and your account's country when it isn't, and to lowercase emails. Before writing, Pipehand will show how many records change, with examples, and the whole cleanup will undo as one operation. Its duplicate detection is designed to match phones across formats.

If you want your AI to clean phones and emails with a preview and an undo, join the waitlist on pipehand.com.

FAQ

Does Pipedrive format phone numbers automatically?

No. It saves each number as typed. The only built-in option shows numbers in US format, (555) 555-1234, without changing what's saved, and it skips numbers with dashes or spaces and numbers under 10 digits. Numbers from other countries keep whatever format they were entered in.

How do I add the country code to all phone numbers in Pipedrive?

Export People with the ID column, add the country code in a spreadsheet, and import the file back as an update of existing records. The import replaces each person's phone list with what's in the file, so include every number you want to keep. Tools like Insycle can format existing numbers in bulk. Bulk edit can't, because it writes one value for everyone.

What phone format does Pipedrive WhatsApp need?

Every number must include the country code. Without it, you type the number by hand in the conversation. If several contacts share a number, the conversation isn't linked to any of them. WhatsApp in Pipedrive is in beta, on Growth and higher plans.

Why does Pipedrive show the same phone number twice on a contact?

Usually a merge. In our sandbox, merging two people kept both "570-809-7197" and "+1 (570) 809 7197" on the same contact. Open the contact and delete the extra copy. Merge duplicates won't flag them either, because it compares phones exactly as typed.

How do I remove a duplicate email from a contact in Pipedrive?

Edit the contact and delete the extra address. If it's a different address, not a plain copy, check the contact's email tab first: in our sandbox, removing an address unlinked the email messages that came from it until we added it back.

Why do emails appear twice in Pipedrive?

If it's the same message twice in the history, Pipedrive names three causes: teammates syncing the same thread, a shared inbox synced by several people, or sync and Smart BCC at the same time. If it's the same person twice, merge the two contacts.
