How to remove duplicates in Pipedrive (including deals)
To remove duplicates in Pipedrive, go to Tools and apps > Merge duplicates and merge each pair of people or organizations it lists. It never checks deals or leads: find those in the list view sorted by organization, then merge from the record's three-dot More menu, or delete the copy if it has no history. The tool misses most duplicates: in our sandbox it found 1 pair where our own scan found 14, 4 of them deals. A deleted record comes back for 30 days; a merge can't be undone.
Tested in a Pipedrive sandbox, October 2026. Last checked: October 30, 2026. What we couldn't verify.
How to remove duplicate people, organizations, deals and leads
| Record | How Pipedrive finds them | How to remove them | Can you get it back? |
|---|---|---|---|
| People | Merge duplicates: same name plus the same email, phone or organization | Merge from the Merge duplicates list or from the person's More menu | A merge, no. A deleted person, yes, for 30 days in Restore data |
| Organizations | Merge duplicates: same name plus the same address | Merge from the list or from the organization's More menu | Same as people |
| Deals | It doesn't. Sort the Deals list view by organization and look for two open deals | Merge from the deal's More menu, or delete the copy if it's empty | A merge, no. A deleted deal, yes, for 30 days |
| Leads | It doesn't. Check the Leads Inbox for the same person or organization | Merge from the three-dot menu at the bottom left of the lead, or delete it | A merged lead is deleted on the spot. A deleted lead, yes, for 30 days |
The step-by-step merge, and what each merge keeps and loses, is in how to merge duplicates in Pipedrive.
How to find duplicates in Pipedrive
You need to be an admin, or a regular user with the merge permission for that record type. A regular user only sees the duplicates they're allowed to see (Merge duplicates, updated September 3, 2026).
Go to Tools and apps > Merge duplicates. You'll see pairs of people and organizations.
For each pair, pick the primary, the record whose values win when the two disagree, then Preview and Merge. Pipedrive has no "merge all" button.
If the list looks short, admins can open Edit matching rules and choose which fields count as a match. Pipedrive added this in September 2026 (product updates). Click Preview to see what the new rules would find before you keep them.
By default, Pipedrive flags people with the same name plus the same phone, email or organization, and organizations with the same name and address (how it identifies duplicates, updated September 3, 2026). It ignores capital letters, so it matched Tony.Turner@moveer.com with tony.turner@moveer.com. Beyond that, the rules we tested, default and edited, compared exact values. Among the 13 pairs it missed in our sandbox in October 2026:
| Duplicate in our sandbox | Why Pipedrive didn't flag it |
|---|---|
| Hashim Hardy: "240-707-3884" and "2407073884" | It doesn't compare phone numbers in different formats |
| Laura Gómez and Laura Gomez | It treats the accent as a different name |
| Tony Turner and Anthony Turner, same email | Every default rule needs the same name |
| Moveer Limited and Moveer Ltd | It doesn't ignore company suffixes or punctuation |
| Two people with the same name and nothing else | With "Skip empty fields" on, a name alone isn't a match |
| 4 pairs of deals with the same title and contact | It never checks deals |
If Merge duplicates shows nothing, the list may be out of date. In our test the main screen said 0 duplicates until we opened Edit matching rules and clicked Preview, which found the one pair.
How to find and remove duplicate deals
Pipedrive has no tool for duplicate deals. Imports have "no duplicate identifier for deals" (avoid duplicates during an import, updated September 3, 2026), Merge duplicates never lists them, and the most-viewed developer forum thread on it (2019, 6,500+ views) ends with the person asking how to recognize duplicate deals automatically. They usually come from a web form and a salesperson both creating the deal, or a Zap that creates a deal on every form submission.
(To copy a deal instead, use Duplicate in its three-dot menu.)
Open Deals in list view and filter for Status: open.
Show these columns: Title, Organization, Contact person, Value, Pipeline, Owner, Deal created and ID.
Sort by Organization. Two open deals for the same company and contact, with similar titles, in the same pipeline, are your candidates.
For a big pipeline, export the list and sort it in a spreadsheet, or find duplicates with AI.
Open both. If one has no activities, notes, emails, files or products, delete it. If both have history, merge them from the deal's three-dot More menu.
Before merging two deals, check both values and owners: the primary's value wins, and the merged deal keeps the primary's owner. In our test, merging through Pipedrive's API, deals worth 200 and 250 kept 200. A won deal plus a new open one with the same title is usually a renewal, not a duplicate.
Should you delete or merge duplicates in Pipedrive?
| Delete | Merge | |
|---|---|---|
| Its history | Deleted with it, along with linked items such as activities | Moves to the record you keep |
| Can you undo it? | Yes, from Tools and apps > Restore data, for 30 days | No. Pipedrive says merged items "can't be un-merged" |
| In bulk | Yes, select rows in the list view and click the trash icon | No, one pair at a time |
| Best for | Empty copies: test records, a deal created twice in one minute | Duplicates where both records have history |
A deleted item comes back from Restore data with its linked items, and you can restore several at once and filter by bulk deletion session (Restore data, updated September 3, 2026). Regular users can't delete deals until an admin turns on Delete deals in their permission set (bulk deleting, updated September 3, 2026).
Restore data doesn't list merges, and Pipedrive's bulk edit revert doesn't cover them either. So when a copy is empty, delete it instead: you can restore it for 30 days.
How to prevent duplicates in Pipedrive
- Imports. In the last step, under "Choose how to handle duplicates", merge them instead of creating new records (import guide, updated October 19, 2026). The import matches people on name plus the same email, phone or organization, so include an email or phone for everyone. Deals are never matched: take deals that already exist out of the file. A global admin can revert an import for 48 hours.
- Web forms and LeadBooster. Pipedrive doesn't document how a form, the chatbot or Prospector matches someone who's already a contact. Check the Leads Inbox for repeat names once a week, before you convert leads to deals: two leads for the same person become two deals.
- Zapier and Make. Put a "find" step before every "create", and search by email, not name. Zapier has "Find or Create" steps for people, organizations, deals and leads that create the record only when nothing matches.
Apps to remove Pipedrive duplicates in bulk
All three merge through Pipedrive's API. Prices checked on October 30, 2026.
| App | What it does | Price | Undo |
|---|---|---|---|
| Dedupely | People, organizations, deals, leads and products. Matches on any field, merges in bulk or on a schedule, keeps a merge history. 400+ installs on the Pipedrive Marketplace | From $40 a month ($32 billed yearly) for up to 30,000 records. 20 free trial merges | Says "No merge can be undone" |
| Insycle | People, organizations and deals. Bulk merge with rules for which record and which field values win, and a CSV preview first | From $100 a month, billed yearly. 14-day trial up to 500 records | Says "There is no undo button"; its CSV preview keeps the old values |
| Dropcontact | Says it finds and merges contacts and companies even when fields differ, plus email enrichment | The merge feature is in its CRM integration suite, priced on request | Not stated |
Insycle suits a team that wants the same cleanup saved and run again. Try any of them on a small filter first.
How to find duplicates with AI today
Pipedrive's official AI connector (its MCP server) can read and search your records, but it can't merge or delete. None of its 51 tools does (list, updated October 22, 2026). So the AI finds the pairs and you remove them in Pipedrive. Two ways that work:
- Give the AI a file. Export People (or Deals) from the list view with the ID, name, email, phone, organization, owner and created date, and upload the file to Claude or ChatGPT. They can compare thousands of rows and catch the phone formats, accents and "Ltd" versions Pipedrive misses, without touching your CRM.
- Let it check the pairs in Pipedrive. With the connector set up (Claude, ChatGPT), the AI can open both records of each pair and tell you which one has more activities and notes, so you know which to keep.
The limits: the AI can pair two different people who share a name, a long list won't fit in one chat, and the connector's reads count against token limits based on your plan (Pipedrive's daily API limit). More in what Pipedrive's MCP can and can't do.
Prompts to copy
| Prompt | What it prevents |
|---|---|
| "In this file, find people who are probably the same person: same email, same phone in any format, or same name without accents. List the pairs with both IDs and the reason." | Missing the pairs Pipedrive can't see |
| "Find open deals with the same organization and a similar title. Show both IDs, values, owners and created dates. Mark the ones that could be renewals." | Merging two real sales |
| "For each pair, tell me which record has more activities and notes, so I keep that one." | Keeping the empty copy |
| "Don't merge, delete or update anything. Only read." | The AI acting before you've looked |
Common mistakes
- Merging another salesperson's deal into yours. It moves to the primary's owner, and Pipedrive didn't notify anyone in our test.
- Deleting a duplicate that has history. Its activities go with it. Merge instead.
- Fixing the duplicates but not the source. If a form or Zap created them, they'll be back next week.
What we couldn't verify
- Which Pipedrive plans include Merge duplicates. Pipedrive's help doesn't say; Dedupely and Dropcontact say every plan.
- Whether the list of pairs has a maximum length.
- Whether edited matching rules other than the ones we tested can drop the name requirement or match phone numbers in different formats.
- How web forms, the chatbot and Prospector match an existing contact.
- What happens to a person's deals when you delete the person.
Where Pipehand fits
Pipehand is planned to launch in April 2027 as a replacement for Pipedrive's MCP, with early access for founding members from January 2027. It's designed to find duplicate people, organizations, deals and leads across phone formats, accents and company suffixes, with a reason for each pair, on every plan. Your AI will be able to merge them with a field-by-field preview, and Pipehand will keep a copy of both records first, so you can undo the merge. At launch, deals and leads won't merge on their own: they'll always wait for your review. It's also designed to warn your AI before it creates a duplicate.
If you want your AI to find the duplicates Pipedrive misses and merge them with an undo, join the waitlist on pipehand.com.
FAQ
How do I remove duplicates in Pipedrive?
Go to Tools and apps > Merge duplicates, pick the primary record in each pair, preview and merge. For deals and leads, which that tool doesn't check, find them in the list view and merge from the record's More menu. Deleted items can be restored for 30 days; merges can't be undone.
Does Pipedrive find duplicate deals?
No. Merge duplicates only checks people and organizations, and imports don't match deals either. Sort the Deals list view by organization, filtered to open deals, to spot two deals for the same company and contact. Then merge them from the deal, or delete the empty one.
Does Pipedrive find duplicate organizations?
Yes, but only with the same name and the same address. "Moveer Ltd" and "Moveer Limited" slip through, and so does the same company saved without an address. Merge the pairs it lists in Tools and apps > Merge duplicates, or open the organization and use its More menu.
Why is Pipedrive's Merge duplicates not working?
It matches exact values, ignoring capital letters: the same name plus the same email, phone or organization for people, and name plus address for organizations. Different phone formats, accents and "Ltd" against "Limited" slip through. Admins can edit the matching rules. If the list looks stale, open Edit matching rules and click Preview.
Can I bulk delete or bulk merge duplicates in Pipedrive?
You can bulk delete: select the rows in the list view and click the trash icon. Restore data brings them back for 30 days. You can't bulk merge natively: Pipedrive merges one pair at a time. Apps like Dedupely and Insycle merge in bulk through the API, without an undo.
How do I stop duplicates in Pipedrive?
Choose to merge duplicates when you import, include an email or phone for every person, add a find step before every create in Zapier or Make, and check the Leads Inbox for repeat names from web forms. Ask your team to search by email before creating a contact, and run a short cleanup every month.
