What Pipedrive can and can't undo: a map tested in a sandbox

By · Last updated

In Pipedrive you can get back deleted items for 30 days, revert a list-view bulk edit for 30 days and revert an import for 48 hours. You can't undo a merge, and a merged lead is gone the moment you merge it. Edits made one record at a time, which is how integrations and AI assistants usually write, have no undo button at all. The help center doesn't always match what the app does, so every row below says what Pipedrive's help says and what we measured.

Tested in a Pipedrive sandbox in October and November 2026, as an admin user and as a regular user with default permissions. Help center articles checked on November 2, 2026. What we couldn't verify.

The map at a glance

Action Can you undo it? How long Who can do it What's gone for good
Delete a deal, person, organization, lead or activity Yes, from Restore data 30 days Depends on your plan, and the help articles disagree (see below) Everything, after day 30
Delete through the API Yes: people deleted through the API showed up in Restore data as a bulk deletion 30 days In our test, a regular user restored people an admin deleted Everything, after day 30
Bulk edit from a list view Yes, from Restore data > Bulk edits 30 days Tested as an admin Changes made by automations it triggered, and later edits to the same fields when you revert
Import that updates existing records Yes, from Import history 48 hours Global admins only Everything the import overwrote, after 48 hours
Merge people, organizations or deals No Never Nobody, from the app Most of the losing record's conflicting values. On deals we tested, also its owner and any trace in the history
Merge leads No Never Nobody The merged lead, right away
One-by-one edits by an integration, AI or script No Never Nobody The old value, unless you have a copy
Delete your account or use the start-over link No Never Nobody All data; settings survive a start-over

Four places where the help center and the app disagree

  1. Bulk edits can be reverted. The bulk editing article says that once you confirm, "changes can't be undone" (help center, updated September 3, 2026). The confirmation screen in the app says you can undo from Restore data, Pipedrive announced the feature in March 2026 (product updates), and in our test the revert worked.
  2. A merged lead doesn't wait 30 days. The merge dialog says the duplicate lead "will be permanently deleted after 30 days". In our sandbox it returned "not found" immediately, through the API and after a merge by hand, and it never appeared in Restore data. The Leads Inbox article (updated September 23, 2026) matches what we saw: the other lead "will no longer exist".
  3. Who can restore depends on which article you read. The Restore data article says users on Lite and Growth can restore any item they can see. The restore deleted deals article says it's "only available to admin users". In our sandbox, a regular user restored people an admin had deleted.
  4. Deleting through the API leaves the linked records behind. The help says deleting an item also deletes linked historical information such as invoices, notes and attachments, except notes still linked to an active person (help center, updated September 3, 2026). The app's delete dialog for a deal says the same about notes, files, documents and invoices. When we deleted a person through the API, its note, activity and deal stayed active and pointed at the deleted person. Deleting a deal left its activity and note active, and deleting an organization left its person and deal active. We didn't measure a delete made from the app.

Deleted items: 30 days in Restore data

Restore data lists leads, deals, people, organizations and activities deleted in the last 30 days, and "after 30 days, the items are permanently deleted" (help center, updated September 3, 2026). Products aren't on that list, though the same article mentions them when it explains permissions. We didn't test a deleted product, so don't count on getting one back. When a deal comes back, its linked items come back with it.

What we measured:

  • People deleted through the API showed up in Restore data as Bulk deletion and could be restored. A restored person came back with the same ID and its notes, activity and deal still linked.
  • The tab counter is wrong. It showed "People (0)" with four deleted people in the list, and "People (-1)" after a restore. Look at the list, not the number.
  • A regular user with default permissions had no Delete option on their own deal, but could open Restore data and restore what the admin had deleted.

Who can restore deleted items

Pipedrive's articles don't agree. Restore data opens with "Admins can restore deleted items" and then says that on Lite and Growth users can restore any item they have permission to see, and on Premium and above their own items plus others' items they can edit. The article on restoring deleted deals says it's "only available to admin users". We tested people, not deals, and we can't tell you which plan the sandbox behaves like. If it matters for your team, check with one regular user before you need it. More detail in who can delete and who can restore.

Bulk edits: 30 days, with two catches

Pipedrive added a revert for list-view bulk edits in March 2026: Tools and apps > Restore data > Bulk edits, within 30 days. We bulk edited the Phone field of a person with two numbers, using Edit current value, and the person ended up with one phone, the new one: that bulk edit replaced the whole list. The revert brought both numbers back, with the same primary.

The revert warns about two things before you confirm. It also undoes later changes to those fields on those records, and it doesn't undo what automations changed after the bulk edit. "Run automations" is ticked by default in the bulk edit panel. Step by step in can you undo a bulk edit in Pipedrive.

Imports: 48 hours, admins only

You can revert an import from the import history tab within 48 hours, and only global admins can (help center, updated October 19, 2026). The article doesn't say what the revert does to records the import updated. We tested it: an import with the ID column mapped to Pipedrive System ID and duplicates set to "Merge data" reported "1 updated" and replaced the person's two phones with the one in the file, without a warning. The revert put both phones back. We didn't test what the revert does with records the import created. How to clean phone numbers and emails covers safer ways to update phones in bulk.

Merges: there is no undo

The help center says merged items "can't be un-merged" and that the primary item's information wins (help center, updated September 3, 2026). The merge dialog adds that the duplicate is permanently deleted after 30 days. Restore data doesn't list merged records. One odd exception: after a merge of people made by hand, the changes it caused on their deals (the contact person) showed up under Bulk edits with a Revert button. We didn't try that button.

What we measured when merging two deals by hand, each with a different owner:

  • You pick one deal to win as a whole, not field by field. The winner kept its owner and its value, and the other deal's value was lost. The other owner became a follower.
  • The other owner got no notification. Their monthly progress showed one new deal fewer.
  • The merge doesn't appear in the deal's history, in the "All" tab or the Changelog.
  • Files and email threads moved to the winning deal with the same IDs.

Merging people through the API added both records' emails and phones together, without normalizing them, while the help says the primary's phone is kept. We didn't test a merge of people by hand. A developer can rebuild a merged record through the API during the 30 days, but it's a project, not a button: files, for example, come back as copies with a new ID and date. The full list is in how to merge duplicates in Pipedrive.

Merged leads are deleted on the spot

Merging two leads deletes one of them immediately. Through the API and by hand, the merged lead returned "not found" right away and didn't appear in Restore data > Deleted items > Leads, even though the dialog promises 30 days. The only way back is to recreate it from a copy, with a new ID. Details in can you merge leads in Pipedrive.

One-by-one edits by integrations and AI

Restore data only covers list-view bulk edits. When we edited people one at a time through the API, the changes didn't appear under Bulk edits, while a bulk edit made in the list later that day did. That's how most integrations, scripts and AI assistants write: one record per call. For deals, people and organizations, Pipedrive lists field changes in each record's history, and developers can fetch them from the changelog endpoints (developer changelog). We didn't test rebuilding records from it. Either way, someone has to write the old values back.

Before you let an AI assistant change a batch of records, export what it's going to touch. What happens when you ask an AI to bulk edit shows how those calls add up against your API budget.

Once Pipedrive deletes your account data, "you won't be able to recover it" (help center, updated September 13, 2026). A closed paid account is typically deleted within 180 days of closing, and a manual deletion requested from support takes up to 48 hours. The start-over link deletes deals, leads, projects, people, organizations, products, notes, files and Campaigns, but keeps your pipelines, stages, custom fields and users. Only users with access to account settings can cancel the account or request its deletion. We didn't test any of this.

Before a big change: three habits

  1. Export first. Go to Tools and apps > Export data and save the data types you're about to touch. Nothing in the app reverses a merge or a one-by-one edit, so this copy is your way back. How to back up Pipedrive has the steps.
  2. Try it on one record. Run the bulk edit, import or merge on a single test record and check the result, especially on phone and email fields.
  3. Know your window. Write down when you ran it: 48 hours for an import revert, 30 days for a bulk edit or a deleted item.

What we couldn't verify

  • What a delete made from the app does to linked notes and activities. We only measured deletes through the API.
  • Whether deleted products, notes, files and projects can be restored, and whether a regular user can restore a deleted deal.
  • Which Pipedrive plan our sandbox behaves like for restore permissions.
  • Bulk edit reverts by a regular user, or on fields other than Phone.
  • What an import revert does with records the import created, and with emails or other multi-value fields.
  • What a merge of people made by hand does with two formats of the same phone number.
  • What happens to the notes, activities and fields of a merged lead.
  • Whether a merge of people or organizations by hand notifies the other owner or leaves a line in the history. We tested deals.
  • Whether old values can be rebuilt from a record's changelog.
  • Anything about undoing changes made by automations beyond the warning text.
  • How Pipedrive's own MCP server, Zapier or Make edit records. We tested with our own scripts.

FAQ

Can you undo in Pipedrive?

Partly. Restore data brings back deleted items and list-view bulk edits for 30 days, and Import history reverts an import for 48 hours. Merges, merged leads and edits made one record at a time can't be undone from the app.

Can you undo a merge in Pipedrive?

No. Pipedrive's help center says merged items can't be un-merged, and Restore data doesn't show merged records. A developer can rebuild the merged record through the API within 30 days, but nothing in the app does it.

How long does Pipedrive keep deleted data?

30 days in Restore data. After that, items are permanently deleted, including items deleted through the API.

Can you undo a bulk edit in Pipedrive?

Yes, since March 2026, from Tools and apps > Restore data > Bulk edits within 30 days, even though the bulk editing help article still says changes can't be undone. It doesn't undo changes made by automations the bulk edit triggered.
