Pipedrive Gmail integration: what syncs, Smart BCC and AI
Pipedrive connects to Gmail in three ways. Email sync, on Growth and higher plans, connects your Gmail or Google Workspace account so you send and receive email inside Pipedrive, with up to two years of history. Smart BCC, on every plan, logs only the emails you BCC or forward to a Pipedrive address. The Gmail add-on puts a Pipedrive panel next to your inbox, where you see and create contacts, deals, activities and notes. In all three, Pipedrive links each email to a contact by its email address, and to a deal only when that contact has exactly one open deal.
Checked against Pipedrive's help center and each AI vendor's docs on November 2, 2026. We tested linking in our Pipedrive sandbox with Smart BCC in October and November 2026. We haven't tested email sync with a real Gmail account. What we couldn't verify.
The three ways side by side
| Email sync | Smart BCC | Gmail add-on | |
|---|---|---|---|
| Plan | Growth and higher | Every plan | Plan not stated in its help article. Scheduler links need Growth |
| What it logs | Every email under the Gmail labels you choose | Only the emails you BCC or forward | Its help article doesn't say it saves emails |
| Direction | Send and receive from Pipedrive | One way, into Pipedrive. Customer replies arrive only if you forward them | You stay in Gmail |
| History | Up to two years | Only what you BCC or forward | None |
| Privacy | Each email is Shared or Private | Not spelled out in the Smart BCC article | Not applicable |
| Templates and open tracking | Yes | No, both need email sync | No |
| Accounts | Growth 1 per user, Premium 3, Ultimate 5. Team inbox: Premium 1 per company, Ultimate 5 | One address per company, plus one per deal and per lead | Not stated |

Email sync and Smart BCC work the same with Outlook. Email sync also supports Exchange and any IMAP account.
Email sync
You pick which Gmail labels to sync (what to sync). Teammates see a synced email only if it's Shared, linked to a deal or contact, and they can see that deal or contact. You set the default for new emails in Personal preferences > Email sync. Switching an email to Private removes access from anyone who already saw it (email privacy, September 3, 2026).
The whole company shares a limit of 40 email actions per minute, plus Gmail's own limits. Open tracking works only on emails sent from Pipedrive, and with several recipients it doesn't say who opened.
Smart BCC
Your company gets one Smart BCC address, and each deal and lead has its own. Pipedrive accepts emails only from your login address or verified alternative addresses (BCC emails not arriving, September 3, 2026). The email must pass DKIM or SPF and weigh under 20 MB in total. If the recipient's address isn't in Pipedrive, it creates a new person automatically.
The Gmail add-on (extension, plugin)
People search for "extension" and "plugin". Pipedrive calls it the Gmail add-on, and you install it from the Google Workspace Marketplace as "Pipedrive CRM". On November 2, 2026, that listing showed more than 84,000 installs and 2.1 stars from 108 ratings, last updated May 14, 2026 (listing). The old Chrome extension's help page returns a 404 today.
Synced and BCC'd emails don't become activities on their own. Only emails sent from Pipedrive can, if you turn that option on; for the rest, you add the activity by hand (add emails as activities, September 3, 2026).
How Pipedrive links an email to a deal
These rules come from Pipedrive's help, and Smart BCC follows the same one-open-deal rule (why emails aren't linked and link emails to items, both September 3, 2026):
- People: by email address. Each sender and recipient is matched to the contact with that address.
- Organizations: through the person. There's no match by domain.
- Deals, leads and projects: only one open item. If the person has two open deals, Pipedrive asks you to pick one in the Mail tab.
- Not retroactive. The deal has to exist before the thread. Create the deal after the first email, and that thread stays unlinked.
- Won, lost or deleted deals stop collecting new emails automatically. You can still link by hand.
- One thread, one deal. Linking and unlinking apply to the whole thread. To have it on a second deal, forward it to Smart BCC and link the copy.
To change a link, open the email in the Sales Inbox and use Link item, or select several and use Link conversations. The owners of the conversation and admins can unlink.
What we measured in our sandbox
In our sandbox, with emails sent by Smart BCC, every participant in a thread was linked to a contact by address. While undoing a merge by API, we removed an address from the contact that had absorbed it. The emails linked through that address lost their contact, even though another contact still had the same address. A minute later they were still unlinked. They linked again only when we removed the address from the contact that should own them and added it back. We saw this in one scenario, and Pipedrive's help doesn't describe it. Before deleting an address, read careful before you delete an address.
On November 2, 2026, we merged two deals by hand in Pipedrive. The email threads moved to the deal that stayed, as the merge dialog says. What else a merge keeps and loses is in how to merge duplicates in Pipedrive.
Common problems and what to do
| Problem | Usual cause | What to do |
|---|---|---|
| Email sync not working or disconnected | Password or server change | Click Re-authenticate. If that fails, stop syncing and add the account again. Emails already synced stay |
| Emails missing from the inbox | A filter, or the label isn't selected in the sync | Clear filters and check which labels you sync |
| Email synced but not on the deal | Two open deals, deal created after the thread, or deal won or lost | Link the thread by hand. Check the link in the top right corner of the email |
| Smart BCC not working | Sent from an address Pipedrive doesn't recognize, DKIM and SPF both failing, or over 20 MB | Send from your login address or add a verified alternative address |
| Smart BCC creates new people | By design: an unknown address becomes a new person | BCC only threads with real prospects, and merge the extras (find duplicates) |
| Personal emails show up | Sync brings everything under the chosen labels | Sync only work labels, choose "Pipedrive contacts only" (it appears when you edit the past sync, not at setup), block addresses or domains, mark emails Private |
| The same email twice | Two teammates syncing the same thread, a shared inbox synced by several people, or sync plus Smart BCC | One teammate marks it Private, use a team inbox (Premium and up), or use only one method (duplicate emails) |

Using AI with Gmail and Pipedrive today
What the Gmail connectors do
| AI | What it does with Gmail | Writes to Pipedrive? |
|---|---|---|
| Claude | Searches and reads email, creates drafts, and sends, replies and forwards, asking for your approval by default. Sees only attachment details, not their content. On Team and Enterprise, an Owner enables it (Claude help) | No. With Pipedrive's connector also on, yes, one record at a time (setup) |
| ChatGPT | Searches and reads email. Reviews from June 2026 say it can now draft and send from the chat on the web, after you confirm (hands-on review). We couldn't confirm the date or plans with OpenAI | No. With Pipedrive's app or MCP, yes (setup) |
| Gemini | Summarizes and searches. Google's help is unclear on whether it creates drafts. On Workspace, your admin enables it | No. Some accounts can add Pipedrive's MCP server by hand (details) |
No Gmail connector writes to Pipedrive on its own. You need a Pipedrive connector next to it.
What Pipedrive's official MCP does with email
Pipedrive's list of MCP tools (updated October 22, 2026, checked November 2) has 8 email tools. They read threads and messages, list the emails of a deal, person or organization, and edit a thread: link it to a deal or lead, mark it read, archive it or share it. They need email sync connected, so in practice Growth or higher. They can't send email. Pipedrive's API has no endpoint to create or send email, and no Smart BCC API (Mailbox API). The full tool list is in Does Pipedrive have an MCP server?
Privacy before you start
- The content goes to the AI company. Reading a customer thread with an AI sends it to Anthropic, OpenAI or Google. Claude's help says "We do not train our models on your Gmail" connector data. According to search results of OpenAI's data FAQ, which we couldn't open, Free, Plus and Pro chats can train its models if "Improve the model for everyone" is on.
- Private in Pipedrive isn't private in Gmail. An email you marked Private in Pipedrive is still in your inbox, and the Gmail connector can read it.
- A wrong link moves the thread. One thread goes to one deal. If the AI links it to the wrong deal, it disappears from the right one.
- Both Claude and ChatGPT can send now. Keep approval on.
Prompts you can copy
All of these only read and summarize. Turn on the Gmail connector and Pipedrive's connector in the same chat.
| Prompt | What it does |
|---|---|
| "Find my last thread with anyone at acme.com in Gmail. Summarize it in five lines: what they asked, what we promised, any dates. Don't send, draft or label anything." | Reads Gmail |
| "Search Pipedrive for the people in that thread and list their open deals with owner and stage. Don't change anything." | Reads Pipedrive |
| "List the emails linked to the Acme deal in Pipedrive in the last 30 days, newest first, one line each." | Reads Pipedrive (needs email sync) |
| "Compare the Gmail thread with the Acme deal. Which dates or amounts don't match? Tell me; don't update the deal." | Reads both |
| "Draft the note you'd add to the Acme deal from this thread. Show it to me here; don't save it." | Writes nothing |
To let it write, ask for one change at a time and check it in Pipedrive.
Common mistakes
- Creating the deal after the first email. That thread won't link on its own.
- Using sync and Smart BCC together. The same email can show up twice.
- Deleting a contact's old address. In our test, its emails lost their contact and came back only when we re-added the address.
- Expecting Smart BCC to catch replies. Forward them, or move to email sync.
- Syncing your whole inbox. Pick work labels, or personal email lands in Pipedrive.
- Letting an AI link threads in bulk. Each thread can sit on one deal only, and a wrong link moves it.
What we couldn't verify
- Email sync with a real Gmail account. We tested linking only with Smart BCC in our sandbox. We haven't tested private emails or attachments.
- The default sharing setting before you change it, Shared or Private. Pipedrive's help says where to set it, not what it starts as.
- Whether the Gmail add-on links emails to deals. Pipedrive's Marketplace listing says it does. Its help article doesn't.
- Whether the official MCP reads emails that arrived only by Smart BCC, and whether it sees teammates' private emails.
- ChatGPT's Gmail details. OpenAI's help pages blocked our requests. Sending comes from third-party reviews, and the training setting from search results of OpenAI's data FAQ.
- Whether Gemini creates Gmail drafts. Two of Google's help pages disagree.
- The old Chrome extension. Its help page is gone and its Chrome Web Store page didn't load.
- Plan prices. Pipedrive's pricing page blocked our requests, so this guide names plans without prices.
Where Pipehand fits
Pipehand is in development as a replacement for Pipedrive's MCP. Your AI will read Gmail with its own connector and write to Pipedrive through Pipehand. Through Pipehand it will also read the emails linked in Pipedrive and link a thread to a deal or lead, with undo, plus merge duplicates and bulk edit after a preview. Like the official connector, reading emails will need email sync. It's designed not to keep a copy of your emails: their content will pass from Pipedrive to your AI without being stored. Pipehand won't send email or run its own AI model.
If you want your AI to keep Pipedrive in order with an undo for each change, join the waitlist on pipehand.com.
FAQ
Does Pipedrive integrate with Gmail?
Yes, in three ways. Email sync, on Growth and higher, connects your Gmail or Google Workspace account and lets you send and receive email in Pipedrive. Smart BCC, on every plan, logs the emails you BCC or forward. The Gmail add-on shows a Pipedrive panel next to your inbox.
Is Smart BCC available on the Lite plan?
Yes. Pipedrive says Smart BCC is available on all plans. Email sync, templates and open tracking need Growth or higher.
Why is my Pipedrive email sync not working?
If it disconnected after a password or server change, click Re-authenticate. If emails are missing, check your filters and which Gmail labels you sync. If an email is synced but not on the deal, the contact may have two open deals or the deal was created after the thread.
How do I link an email to a deal in Pipedrive?
Pipedrive links it on its own when the contact has exactly one open deal that existed before the thread. Otherwise, open the email in the Sales Inbox and use Link item. A thread can be linked to one deal only.
Why does Smart BCC create new contacts?
Any address Pipedrive doesn't know becomes a new person. BCC only threads with prospects, and merge the extras.
Can Claude or ChatGPT log my Gmail emails in Pipedrive?
Not with the Gmail connector alone. With Pipedrive's connector also on and email sync connected, the AI can read the emails linked in Pipedrive and link a thread to a deal or lead. It can't create an email in Pipedrive, because Pipedrive's API has no way to do that.
